Stocktake Procedure Generate Additive UOM Count Import (IC01)

ADDITIVE UOM COUNT STOCKTAKE PROCEDURE (imported into Generated Stocktake)

 

Stocktake Overview

A stocktake now consists of a Stocktake with one or more Counts. The Stocktake is the Parent and the Counts are the Children.

 

There are two types of Counts a Stocktake can have.

 

  1. A Single Count means you can only have one Count per Product (same as prior to Release 4)

  2. An Additive Count means you can have many Counts per Product. Quantities from the Counts are summarised onto the Stocktake. This method is useful if you use UOM where you may be counting Products in different Units Of Measure such as Boxes and Pallets.


You can have several Stocktakes in process concurrently, but there is a limit of one current (Unposted) Stocktake per Product, Location (Saturn) and period.


Expected Quantities are used as the Compare Basis. Expected Quantities are loaded when Products are added to the Stocktake. This can be done by Generating Stocktakes or Inserting Products onto a Stocktake. When Importing Counts, any products that are in the import file, but not on the Stocktake, are added automatically to the Stocktake.

Units of Measure (IC06)

Units of Measure (UOM) allows you to buy and sell products represented in different units such as boxes or packs.


It also allows you to control the valid decimal places for quantities on a per Product basis. For example you can set Decimals for Labour recorded in 15 minute segments as Hours with 2 Decimals. You can also set Decimals for goods you only buy and\or sell in whole quantities with 0 Decimal places, e.g. to prevent you selling say half a Wardrobe.


Products have a Base UOM which is the unit of measure that stock quantities are ultimately stored in and reported on, i.e. the unit the Product is represented in. They can then have Other UOMs they buy and sell in.


Each UOM code has a Multiplier which is how many of the Base Unit are in the UOM code. The Base UOM code will always have a Multiplier of 1.


If you are using UOM for Decimal control – you only need a Base UOM.

Stocktake Procedure Basic Stocktake Import (IC07)

You now have the option of importing Basic type Stocktakes. This type of Stocktake allows you to import the Counted Quantities and the Stocktake is then created for you.


To use this method of Stocktaking:


Set the Count Type to Basic. Go to: Setup > Inventory Control > Settings > Stocktake Press Edit and set the Count Type to Basic and select the Import format and File Name then press Save.

Stocktake Procedure Basic Stocktake (IC08)

You now have the option of printing Stocktaking forms and entering Basic type Stocktakes. This type of Stocktake allows you to key the Counted Quantities directly onto the Enter Quantities form and the Stocktake is then created for you.

Manufacturing examples (IC13)
  1. Open Maintain > Inventory Control > Components

  2.  Select the product you would like to ‘Manufacture’ – that is, the product you are going to sell in the end to a customer.

  3. This product must have already been made in Maintain > Inventory Control > Products. If you go here, you can go straight to Manufacturing the Components by clicking on Components at the bottom of the Product tab in IC Product Maintenance

  4. Click ‘Edit’

  5. Select the Component Mode and If it’s a Non Diminishing Product described below

    1. None – the Default Setting – This is for products that do not have components, so is not a Manufactured product or a Kitset and will prevent your manufacturing of a product from working correctly when you add components in the lines field below.

    2. Automatic - For Diminishing products, the product can be automatically manufactured from its components. When the product is a component in a Manufacture, it will be automatically manufactured. The components will not be listed on invoices.

      1. For Non Diminishing products (Automatic Kitsets), the components will be listed on invoices.

    3. Manual - For Diminishing products, the product must be manually manufactured. When the product is a component in a Manufacture, it will not be automatically manufactured. The components will not be listed on invoices.

      1. For Non Diminishing products (Manual Kitsets) you can select whether to show or hide Usages (components) on invoices. Set the default for Hide Usages by Default in Users, Groups and Roles - Preferences tab.

  6. Now click Insert and look up the existing parts which make up the final product

  7. Add the quantity of each part in the UOM Quantity

  8. Repeat until all parts of that product are listed in the Component List

  9. Go to the Prices tab and set the price you would like to sell the product for, and adjust any of the relevant prices if not automatically done, or if you would like to change the price anyway.

  10. Add a Location of the product (Saturn only) if applicable

  11. Press Save
